Behind the scenes: What’s the secret to a smooth-running residential project?

How professional project management keeps your Norfolk residential build on schedule and within budget

When you’re choosing a construction team for your Norfolk home, you probably spend hours considering architectural vision, craftsmanship and quality materials. So how do we do it? We caught up with our project manager Dan Jarvis to explore what a typical week looks like – and what it means for you.

Dan’s Monday morning doesn’t actually start on Monday.

“Planning for the week ahead normally starts on a Thursday,” he explains. “That’s when our team meets for labour allocation, mapping out where every member of staff will be for the weeks or months ahead.”

By Friday afternoon, Dan’s already reviewing the following week’s diary, preparing for meetings and thinking ahead about what each project needs, from upcoming material orders to details requiring engineer input or design decisions to raise with clients.

What does weekly planning look like for building project?

When Monday arrives, it begins with the less glamorous but crucial admin work: reviewing timesheets for everyone on site across his four or five active projects, signing off material invoices and ensuring subcontractors are paid on time. With these essentials in place, Dan can focus on the week’s more dynamic challenges.

Why do material lead times matter for your Norfolk build?

This level of forward planning isn’t just good practice, it’s what keeps your build on schedule and within budget. “I’m always planning a minimum of three months ahead,” Dan says. “Windows and doors typically require 10 to 12 weeks lead time, sometimes more. Bricks need six to eight weeks. Specialist subcontractors might be booked up for months.”

Dan uses detailed live-document programs to track when every element needs ordering to arrive precisely when required. “I describe it as spinning plates,” he says. “You need to keep them all moving without letting any fall.”

For you, this means no costly delays waiting for materials, no scrambling to find available tradespeople, and no unwelcome surprises that derail your timeline.

How often will a project manager visit your building site?

You might picture a project manager constantly on site, hard hat on and clipboard in hand. But Dan’s approach is more strategic, and there’s good reason for that. “It’s important to balance site time and office time,” he explains. “If you spend too much time on site, you can’t action the forward planning that keeps everything advancing.”

Dan will visit your site once or twice a week, always with clear purpose: conducting progress checks against the program, reviewing complex details with the site team, or verifying measurements before materials arrive. Meanwhile, every project also has an experienced Site Manager on location full-time, handling day-to-day operations.

How do you solve complex construction challenges on site?

Ambitious residential projects inevitably involve unusual challenges. Dan navigates these complexities before they become problems, drawing on technical knowledge, supplier relationships and collaborative problem-solving to find elegant solutions.

Take this recent example. Dan’s team discovered the pitched lintel above a bespoke window was too tall and hit the structural steel beam above. Working with the engineer he reviewed alternatives, selecting a purpose-made steel I-beam. But it required fabricating and delivering within two days to keep the bricklayers on schedule.

“We had to get the beam made very rapidly,” Dan recalls. “Thanks to our strong supplier relationships, it arrived on time. You’d never know there had been an issue – the window sits perfectly and the project stayed on track.”

What updates can you expect during your residential build?

A strong collaborative relationship between you and your project manager is key to a good build experience. “The client is the most important person on any project, because we’re all there to deliver their vision,” Dan says.

That philosophy translates into consistent communication throughout your build. Dan stays in contact almost daily by email, alongside weekly or bi-weekly site walks and monthly progress meetings with detailed reports.

He takes care to phase design queries strategically too, giving you time to make considered decisions on everything from flooring materials and kitchen finishes to door handles and paint colours “We try and make it an enjoyable and exciting experience, and encourage clients to be as hands-on or hands-off as they prefer.”
